Constitution – Woestyn Boere Hackers Golf Society

 

 

1. CONSTITUTION

 

Objective of Constitution

To set out rules and guidelines for each member on the formation, operation, control of the Woestyn Boere Hackers Golf Society.

 

A copy of the Constitution will be available to members on the Society’s Website and all members will be bound by its rules, regulations and guidelines.

 

2. NAME OF SOCIETY

 

The Club shall be called "Woestyn Boere Hackers Golf Society", here in after known as "The Society".

 

3. OBJECTIVE OF SOCIETY

 

To promote the game of golf within the UAE and the South African community and encourage local residents to participate & join

 

To organize successful golf outings throughout the year for members and their guests

To play on reputable golf courses on a regular basis.

 

To ensure that the Society and members are affiliated to the Emirates Golf Federation and subsequently abide by their rules and regulations regarding handicaps and Amateur Status

 

4. MEMBERSHIP

 

Full Membership shall be open to all - herein after known as a "MEMBER".

A guest shall be others not mentioned above invited to play in outings by a member.

 

5. SUBSCRIPTION/JOINING FEE

 

An annual subscription shall be paid by all members as determined at the AGM.

 

6. COMMITTEE

 

The society shall endeavor to ensure that the "Committee" reflects a cross section of all members of the society.

 

The Committee shall consist of the key posts of six executive members and any additional committee members deemed necessary for the successful operation of the society. (Min 6 persons, max 10 persons)

 

Nominations for the Executive committee members shall be submitted to the outgoing League Manger before the AGM. Each nominee shall be proposed and seconded by a MEMBER.

 

Election of Committee members:

 

a. Committee members are drawn from WBH Golf Society Members and are elected by members at the AGM      

b. Committee members cannot serve more than 5 years in any one position consecutively.

 

The committee shall be responsible for the normal operation of the society and shall implement and apply rules, regulations and guidelines as they deem appropriate to promote the successful operation of the society for the benefit of members.

 

7. COMMITTEE ROLES

 

All committee members once elected are expected to fulfill their duties as outlined to them. If, for some reason, they cannot continue the position they will be requested to step down from the committee.

 

8. ROLES OF EXECUTIVE COMMITTEE

 

1. Captain

  • To chair all meetings or nominate alternate.
  • To represent the Society at various outings or to delegate this responsibility to an Executive Committee Member.
  • To organize the work of Committee members for the smooth running of the Society.

2. Vice-Captain

  • To maintain the record and files of the Society.
  • To schedule and minute all society meetings.
  • To be responsible for receiving and issuing all correspondence pertaining to Society business.
  • To stand in for the Captain when unavailable.

 

9. COMMITTEE MEETINGS

 

  • Committee meetings shall be held once a month or as decided by Captain and Vice-Captain.
  • The quorum for a Committee meeting shall be four to include the Captain or Vice-Captain or the next most senior committee member
  • Voting on all motions shall be by a show of hands.
  • No decision of the Committee shall be valid unless passed when a quorum is present.

 

10. ANNUAL GENERAL MEETING

 

  • The Annual General Meeting (here in after referred to as the AGM), shall be held on a set date decide by the Captain no later than October of each year or on a date decided by the Committee.
  • Notice of the AGM shall be posted on the Society’s Website and on the Notice Boards on Facebook.
  • Agenda, forms and notice of motions shall be available on request from Committee.
  • Notice of Motions - Motions will be accepted no later than 1 week before the AGM.
  • The Captain shall have only a casting vote.
  • The Captain shall chair the meeting until the election of new officers.
  • WBH Golf Society MEMBERS are entitled to vote.
  • Voting on all motions shall be by a show of hands..
  • All motions shall require a majority vote of the MEMBERS present at the meeting. Motions will be carried on a simple majority vote.
  • Election of Committee shall be by show of hands, taken at the meeting. Those who obtain a simple majority are deemed elected.
  • No proposal that a committee shall be re-elected en-bloc shall be entertained.
  • Each AGM will conduct the following business:

1. Captain's Report.

2. Minutes of last AGM.

3. Matters arising.

4. Financial Report.

5. Motions.

6. Election of Committee.

7. Any Other Business.

  • A general meeting can be abandoned at the discretion of the members present at the meeting if a quorum is not present.

 

11. DISCIPLINE AND COMPLAINTS

 

The Committee shall be bound to investigate within twenty-one days the complaint of any member which has been submitted in writing to the Captain.
